Quick summary

This addendum replaces three duplicative business addenda. It keeps the business-specific points in one place: admin authority, no-training defaults, workspace retention, connector governance, BYOK/customer-managed providers, MCP controls, audit logs, and order-form priority.

1. Relationship to other policies

This Addendum supplements the Business Terms, AI and Data Use Policy, Data Retention and Deletion Policy, Integrations and Connected Tools Policy, DPA, Security Policy, and any order form. It does not replace those policies unless it expressly says so.

2. Admin authority

Workspace owners, admins, billing admins, and enterprise admins may be able to configure workspace-wide controls, including:

  • members and roles;
  • shared folders/captures/products/templates;
  • data-use and model-contribution settings;
  • AI provider routing and BYOK settings;
  • connector availability and scopes;
  • MCP/API tools and write-tool availability;
  • retention settings and deletion workflows;
  • exports and public sharing;
  • audit logs; and
  • support/security workflows.

Customer is responsible for choosing trusted admins and keeping admin access current.

3. Business no-training default

Business workspaces are no-training by default. Customer Content from Team, Business, Enterprise Preview, and Enterprise workspaces is not used for generalized QuillCaddie model training, fine-tuning, ASR training, internal source-content datasets, or provider model-improvement programs where QuillCaddie controls the setting unless Customer authorizes that use through an approved admin/legal workflow or a signed agreement.

Operational processing to provide the Service remains allowed. Examples include transcription, AI output generation, workspace-specific vocabulary, product-aware outputs, search, export, sharing, connector actions, usage/billing, security, support with permission, and legal compliance.

4. Workspace data-use controls

Where available, workspace admins may control optional model-contribution settings, provider routing, BYOK/customer-managed provider configuration, premium/research/vision/meeting modes, and feature availability. Individual users may have personal choices only where workspace settings allow them.

5. Retention and deletion for business workspaces

Business workspace content may be workspace-owned. If an individual user leaves or deletes their personal account, content they created in a business workspace may remain available to the workspace according to Customer instructions, workspace policy, the order form, legal requirements, and the Data Retention and Deletion Policy.

Workspace deletion, account deletion, export, retention, and legal-hold requests may require admin authorization, security checks, payment reconciliation, and reasonable processing time.

6. Raw audio in business workspaces

Raw audio is temporary by default. Unless Customer chooses a different supported setting or an order form says otherwise, raw audio is deleted after successful processing, may be deleted if transcription succeeds even when AI processing fails, and may be retained for a short retry/download window after repeated transcription failure.

7. Connectors and external tools

Business admins may allow, restrict, or disable connectors. No external tool should receive raw transcript text, source text, full AI output, files, or Customer Content unless a user/admin explicitly authorizes a connector action, export, sync, context import, or MCP/API tool.

Customer is responsible for third-party service accounts, admin consent, scopes, workspace settings, external access controls, and downstream use of data sent to third-party tools.

8. BYOK and customer-managed providers

If BYOK or customer-managed provider routing is enabled, Customer is responsible for the provider account, keys, billing, availability, provider terms, provider data-retention settings, and provider model-training/model-improvement settings. QuillCaddie is responsible for routing requests according to configured settings and protecting stored keys using the Service’s secret-storage controls.

9. MCP and API tools

MCP/API tools are read-only by default unless explicit user/admin settings enable write tools. Write tools, such as creating issues or posting to Slack, may send selected content to third-party services. Customer is responsible for approving tool scopes and monitoring usage.

10. Audit logs

Team, Business, and Enterprise workspaces may include audit logs for admin, sharing, export, connector, MCP, deletion, retention, provider, and security-relevant events. Audit logs should avoid sensitive content bodies and may be retained longer than ordinary workspace content for security, legal, and compliance purposes.

11. Support access

Support access to Customer Content should be limited and permissioned where practical. QuillCaddie may access limited data without Customer permission when needed for security, abuse prevention, legal compliance, or emergency response.

12. Order form priority

A signed order form, DPA, or mutually executed agreement may provide stricter or different terms. Where it conflicts with this Addendum, the signed document controls for that Customer.
