Applies to: Anyone who records, uploads, transcribes, processes, shares, or administers audio, meeting-style captures, speaker labels, transcripts, or AI outputs in QuillCaddie.

Quick summary

QuillCaddie supports audio capture as part of idea capture. You are responsible for recording consent. Raw audio is temporary by default. Meeting-style capture is a capture mode, not the product category. Speaker labels are transcript metadata, not V1 voice recognition or biometric identification.

1. Your responsibility for consent

You are responsible for knowing and following recording, wiretapping, consent, privacy, employment, education, healthcare, confidentiality, and workplace laws that apply to you and the people recorded.

Do not record, upload, transcribe, share, or process someone’s voice unless you have the legal right to do so.

2. Prohibited recording uses

You may not use QuillCaddie to:

  • secretly record people where unlawful;
  • monitor people without a lawful basis;
  • capture protected communications without required consent;
  • invade privacy;
  • evade workplace or platform rules;
  • record minors without appropriate rights and safeguards;
  • collect biometric identifiers without proper legal basis and written agreement where required; or
  • share recorded content with unauthorized recipients.

3. Suggested consent language

When recording another person, consider clear notice such as:

I use QuillCaddie to capture and transcribe ideas. This conversation may be recorded, transcribed, and processed with AI to create notes and summaries. Is that okay?

This is a sample only and may not satisfy all laws or workplace requirements.

4. Audio capture posture

QuillCaddie is an idea-capture workspace. Audio is supported so users can think out loud, capture ideas, and turn spoken thoughts into structured outputs. QuillCaddie is not primarily a meeting bot, calendar assistant, or generic transcription service.

5. Meeting-style captures

Meeting or interview recordings may be supported as a capture mode. Users and organizations are responsible for giving required notice, obtaining consent, and following workplace policies. Meeting-style processing should occur only after notice/consent confirmation and workspace policy checks where applicable.

6. Raw audio retention

Raw audio is temporary by default and follows the Data Retention and Deletion Policy. After successful processing, raw audio is deleted by default unless a supported retention option is selected. Failed transcription may allow a short retry/download window before deletion.

7. Transcripts and AI outputs

Transcripts and AI outputs may contain errors. Speaker labels may be incorrect. AI summaries may omit nuance or infer incorrectly. Review transcripts and outputs before relying on them or sharing them.

8. Speaker labels and diarization

QuillCaddie may support speaker labels such as Speaker 1, Speaker 2, or user-edited display names. Speaker labels are transcript organization metadata.

V1 speaker labels are not voice recognition, identity verification, or biometric identification. QuillCaddie does not create voiceprints in V1. If future biometric or voice-identification features are introduced, QuillCaddie should provide additional notice, controls, and consent flows where required.

9. Driving and safety

Do not use QuillCaddie in a way that distracts from driving, operating machinery, or safety-sensitive activities. Use hands-free or passenger-assisted capture only where safe and lawful.

10. Sharing recorded content

Recorded content may contain personal, confidential, sensitive, or regulated information. You are responsible for public links, exports, connector actions, and downstream sharing.

11. Workplace and business use

Organizations using QuillCaddie for workplace capture are responsible for employee notices, consent, monitoring laws, recordkeeping obligations, data retention policies, and internal governance.
